In accordance with Art. 13 of Regulation (EU) 2016/679 (GDPR), this privacy notice describes how the personal data you enter into the “Contact Request” form on waveproben.com (also accessible via waveproben.it) is processed.
1. Data Controller
The Data Controller for the collection and transmission of data through the form is Anna Maria Speranza, who can be contacted at: annamaria.speranza@uniroma1.it.
2. Service Recipients
The service is reserved exclusively for adult students from the project’s partner universities and institutions. By completing the form, the user declares that they are of legal age and enrolled in one of the partner entities. This website is not intended for individuals under 18 years of age, and we do not knowingly collect their data.
3. What data we process
Through the form, we collect the data you voluntarily provide: name, university or institution of affiliation, institutional email address, and the open text content of the “Message” field.
We invite you to include in the “Message” field only the information strictly necessary to address your request. Since the service concerns your physical and mental well-being, the message may contain information regarding your health or psychological state, which the GDPR classifies as “special categories of data” (Art. 9). This data will only be processed if you choose to provide it and on the basis of your explicit consent (see section 5).
4. How the form works and who receives your data
The form does not store your data in any website database. Upon submission, the entered data is transmitted via email directly to the CounselingA short-term process with a specialist designed to help you better understand yourself and navigate difficult times. service / listening desk of your selected university or institution, among the following project partners:

Each recipient university or institution processes the received data as an independent Data Controller, in accordance with its own privacy policy, in order to accept and manage your request. To understand how each entity processes your data after receiving it, we invite you to consult the privacy policy of your selected university or institution.
5. Purposes and legal basis of the processing
The data is processed for the sole purpose of transmitting your contact request to the service of the selected university or institution and enabling them to handle it.
The legal basis for processing common data (name, email, university) is the performance of your request, pursuant to Art. 6(1)(b) of the GDPR. For any health-related data contained in the message, the legal basis is your explicit consent pursuant to Art. 9(2)(a) of the GDPR, which you provide by ticking the appropriate box before submission. You can withdraw your consent at any time; the withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
6. Data retention
The website does not retain data. The data passes through the email transmission system and is stored in the mailboxes of the recipient universities’ or institutions’ services, in accordance with each entity’s retention policies, as specified in their respective privacy policies.
7. Nature of data provision
Providing your data is optional, but necessary to follow up on your request: without your name, email, and selected university, it is impossible to transmit and direct your request to the competent service.
8. Rights of the data subject
You may exercise the rights provided for in Articles 15-22 of the GDPR (access, rectification, erasure, restriction, objection, data portability, and withdrawal of consent). For data managed during the collection phase, you can contact the Data Controller using the contact details in section 1; for data processed after receipt, you should contact the recipient university or institution. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali – www.gpdp.it).
